Experienced Sponsorship Sales Outsourcing

When outsourcing sponsorship sales, experience matters! After many years in sales, Mr. Valcinus worked in sales and business development for several companies. He became Director of operations of Sales and Business Development for Premiere Events & Promotion Services, Inc in 2015.

It was in his role there that Mr. Valcinus became involved in selling to non-profit and for-profit companies that operated major conferences and shows. This experience was instrumental to the founding of Carnaval Access.org when one of Mr. Valcinus’ non-profit clients later asked for marketing help in selling sponsorships to its major new conference. Success on this project led to the growth of becoming a sponsorship agent, which now sells sponsorships for conferences, festivals, concerts, non-profits, and multiple for-profit companies.

Outsourced Sponsorship Sales and Sponsorship Marketing

Our Focus: Business-to-Business Sponsorship Development

At Caribbean American and Heritage Foundation Inc, our primary focus is outsourced sponsorship sales for business-to-business events and marketing programs…that is, sponsorship sales for events and programs where the people participating represent their businesses. We only rarely do business-to-consumer sponsorship sales. For an explanation of the differences, go to SHOULD YOU OUTSOURCE?

Should You Outsource?

There are three questions you should ask regarding your decision to outsource your sponsorship sales:

Question 1: Should you outsource to maximize your sponsorship opportunities?

  • Do you believe you can do a better job developing sponsorship or sponsorship packages, and then pricing and marketing them, than can sponsorship companies that specialize and do nothing else?

  • Does your team understand what makes up a good sponsorship? Do they understand how to maximize sponsorship opportunities? Which sponsorships really work? Which don’t?

  • Is your sponsorship sales program significant enough to dedicate an entire person or department to it full-time? Is it ongoing for the entire year?

  • Do you have the time or resources to become an expert at developing sponsorship opportunities, and then pricing and marketing those sponsorships?

If the answer to one or more of these questions is “no”, you should outsource your sponsorship sales!

Question 2: Are your Sponsorships Business-to-Business or Business-to-Consumer?

  • While most sponsorship companies focus on business-to-consumer projects, At Caribbean American and Heritage Foundation Inc, our primary focus is business-to-business sponsorship sales. This means events and programs where the people participating represent their businesses. (e.g. physicians at a medical event). With Business-to-Consumer sponsorships, the people involved are consumers representing themselves. (e.g the people at a music festival for example) Our primary focus is Business-to-Business sponsorship sales.

Question 3: Will your project be Attractive to sponsors?

  • For B2B event sponsorships, we offer a White Paper to help you understand the attractiveness of your event to sponsors. Caribbean American and Heritage Foundation Inc understands what sponsors like and do not like. It will be helpful if you understand what is important to sponsors as well. Just fill out the form below, then click SUBMIT to get a link to our White Paper answering this question.

Sponsorship Sales – For Events

Caribbean American and Heritage Foundation Inc perform sponsorship sales for your events, conferences, and conventions. This is our primary business. Services offered include selling sponsorships for the event and often also selling exhibits for these events. We know which sponsorship works, and which does not. We act as your dedicated sales department and use our professional selling methods to maximize sponsorship (and exhibit) dollars for your event. We provide these services to non-profits, as well as for-profit companies.

Event Sponsorship Sales

We Specialize in Event Sponsorship Sales

Caribbean American and Heritage Foundation Inc specialize in (ESS) Event Sponsorship Sales. We act as your sponsorship sales department to sell sponsorship packages for your events, conferences, and conventions. We also often provide exhibit sales for these events. We provide these services for events that have the following general characteristics:

You require Event Sponsorship assistance for an Event that is Business-to-Business. That is the people attending represent their businesses. Business-to-Business Sponsorship Sales are our specialty. We develop Sponsorships and sponsorship packages that satisfy certain marketing objectives of your key corporate sponsors.

The Event for which you require Event Sponsorship assistance is at least six months or more away.  Or, there may be multiple events over a one-year period.

The Event has a total sponsorship financial target of at least $150,000 (or there are multiple events with this aggregate target).

The Event is not a first-time event. That is, it has some history…past exhibitors, past sponsors, and past sponsorship packages sold. Sponsors care about history and are generally less interested in new events.

If your company or organization Event meets these conditions, please CONTACT US, or email us at sales@cahfla.org  or call us at 800-714-9697

Sponsorship Sales – For Business Operations and Programs

Caribbean American and Heritage Foundation Inc also provide sponsorship sales for your regular business operations and programs, where the sponsorships are not tied to a specific event. We can help you develop and sell sponsorships that give your sponsors powerful ways to market to your customers, clients, or members. CONTACT US, or email us at sales@cahfla.org  or call us at 800-714-9697

Business and Program Sponsorships

The Right Corporate Sponsorship and Company Sponsorship Every Time

In addition to Events, Caribbean American and Heritage Foundation Inc also provide Business Sponsorship Sales and Program Sponsorship Sales.  This work can take many forms, but the key is that it is NOT tied to any event. Such sponsorships are based on the fact that marketers are interested in finding new marketing channels to reach organization members or company customers. Very often the organization or company can provide a trusted and effective marketing channel to those groups.

In all cases, this works best when the members or customers are a “narrowcast” target with a specific affinity. For example, the audience could be groups of physicians, college or high school football coaches, public health officials, chemists, police officers, seniors, etc. The higher the affinity the more attractive the group is to marketers because the marketing is highly targeted and can be highly efficient.

We’ll develop the right company sponsorship or sponsorships to match the marketing interests of your key business partners. And also a corporate sponsorship that makes a very attractive offer to your customers or members.

If your company or organization is looking for ways to bring more value to your customers or members, please CONTACT US, or email us at sales@cahfla.org, or call us at  800-714-9697

Benefits of Outsourcing Sponsorship Sales

What are the benefits of outsourcing your sponsorship sales? Just one is expanding the reach of your event. There are many more. For more information, see BENEFITS.

Benefits

Benefits of Outsourcing the Development and Selling of Your Sponsorships

By outsourcing your Sponsorship Sales, you gain a range of valuable benefits.

Success Through Persistent Selling Effort

Corporate Sponsors rarely will call you, rarely will return calls, and rarely will act unless you call them and ask. We politely, but continually, call and ask for sponsorship support—explaining our benefits and the marketing advantages to be achieved. If there is no decision yet, we ask when we should call back. And we call when we say we will. We call until we are given a definite yes or no.

Expand the Reach of Your Event

Find corporate sponsors you may have overlooked. We work to grow your event by analyzing the sponsorships of similar events, identifying sponsors that may not know about you or your event. We then go after them.

Develop Intelligent Sponsorship Packages

We help you develop intelligent sponsorship packages that work. Not every sponsorship sells. We know how to build on your event or marketing program by crafting sponsorships and sponsorship packages that enhance and improve the event. And, we help price them right.

Increase Speed of Cash Collection

We make sales of your sponsorships a priority, and that means we often sign up sponsors before you would if done in-house. You collect the sponsorship revenues faster, improving cash flow.

Pay More Attention to Key Sponsors

As new corporate sponsors commit, and after they have committed, they like to be appreciated well-managed.  We have the time to do that, while your staff may not.  Making them feel special makes them more loyal when renewal time comes

To learn more, and gain these benefits, please CONTACT US, or email us at sales@cahfla.org, or call us at  800-714-9697

Should You Outsource?

Services We Perform

We Perform a Comprehensive Set of Services

We perform a comprehensive set of services related to sponsorship sales.  This includes the following and other tasks:

We first help you decide what sponsorships to offer. What should be in the sponsorship proposal? Should there be event sponsorship packages? How do the packages compare?

We help you set the pricing. This is a key area where many companies and organizations lack experience. Some price event sponsorship packages and corporate sponsorships are too high. Some price them too low. Some think (incorrectly!) that sponsorship pricing should be matched to the cost of providing the sponsorship. We guide you with our experience and expertise.

We help you develop the sponsorship proposal, which is also called the prospectus. This is a written marketing document that summarizes your sponsorship opportunities and is sent to sponsorship candidates. This document is very important. It is distributed electronically to prospects.

We ask for all your past sponsorship information—past exhibitors, past sponsors, past sponsor candidates, etc.  We then use that information to start the development of a target database.

We then expand that database by researching similar events to yours and similar companies or organizations to yours, to see which sponsors they have.  Such information is often prominently displayed on competitors’ websites!

We provide periodic sponsorship sales progress reports in writing or verbally, at your request. Recommendations on re-pricing, down OR up, if certain event sponsorship packages are not selling, or are selling too easily, we make heavy use of the telephone in our sponsorship selling.  Emails are not enough.

To learn more, please CONTACT US, or email us at sales@cahfla.org, or call us at 800-714-9697

Outsourcing Fees For Sponsorship Sales

Sponsorship Sales Pricing, Fees & Commissions

Caribbean American and Heritage Foundation Inc enter into a written agreement covering each party's duties and our method of sponsorship sales pricing and fees. Compensation is based on both commissions earned from sponsorships sold and modest up-front fees. The commission rate is a function of the total dollars to be raised for the event, and the sponsorship amount.

The greater the total amount of expected sponsorship sales, the lower the effective commission rate. We also generally charge a modest, up-front fee to cover the extensive start-up work each project requires. This fee is then treated as a commission advance. That is, as commissions are earned, the fee is paid back.

What If Some of the Sponsorship Sales Are Already in Process?

Suppose in the past you have been selling sponsorships yourself. Now you are considering outsourcing the whole project, but don't want to pay sizable commissions on work you have already done, or on past sponsors who will surely renew. This is the case with some of our clients.

So we structure compensation packages that pay a sliding scale of commission rates based on how much work has already been done and how much effort is required by us. You should pay less for less effort on our part, and more for more effort on our part--like bringing in a new sponsor. This creates a win-win agreement and one that provides us with incentives to work hard to expand the total sponsorship dollars raised.
